What Is DataFlow?
If you are a healthcare professional considering work in the Gulf, you will encounter DataFlow before you set foot in any hospital. It is not optional, not negotiable, and not something your employer can waive. Understanding it early is the difference between a smooth deployment and a six-month delay.
DataFlow Group is a third-party verification company contracted by Gulf health authorities to authenticate the credentials of every internationally trained healthcare professional seeking licensure in the region. It does not assess your clinical competence — that is what the Prometric exam is for. DataFlow’s job is simpler and more bureaucratic: it contacts your training institutions, employers, and licensing bodies directly to confirm that every document you submit is genuine.
The process is called a Primary Source Verification (PSV). Every Gulf country that uses DataFlow requires it. That currently includes Saudi Arabia (SCFHS), the UAE (DHA and DOH), Qatar (QCHP), and Bahrain (NHRA). If you plan to work in any of these countries, you will go through DataFlow at some point in your licensing journey.
Why Does It Exist?
The short answer: document fraud. The Gulf health authorities identified a persistent problem with falsified qualifications and fabricated employment records among internationally recruited healthcare staff. DataFlow was created to eliminate that risk at source by bypassing candidates entirely and going directly to institutions.
This matters to you for one reason: it means the process takes as long as your institutions take to respond. DataFlow cannot be rushed once it is in the hands of your university registrar or your previous employer’s HR department.
What Does DataFlow Actually Verify?
DataFlow contacts each source institution on your application and requests confirmation across four areas:
Academic credentials — your nursing diploma, degree, or postgraduate qualification. DataFlow contacts your training institution directly and asks them to confirm enrolment dates, graduation date, and qualification awarded. If your institution has been closed, merged, or renamed, expect delays.
Professional licences — your registration with your home country’s nursing or allied health council. DataFlow contacts the council to verify that your licence was valid, in good standing, and not subject to any disciplinary action.
Employment history — every position you list on your application. DataFlow contacts each employer’s HR department to confirm job title, dates of employment, and reason for leaving. Unexplained gaps or slow-responding employers extend the timeline.
Identity documents — your passport details are checked against your submitted documents for consistency.

How Long Does It Take?
The honest answer is four to twelve weeks, with eight weeks being a reasonable working assumption for candidates with clean, straightforward documentation.
The variables that extend this:
Your university’s responsiveness. Universities vary significantly. Some nursing schools have dedicated verification desks and turn requests around in days. Others route everything through a central registrar that responds on its own schedule. There is nothing DataFlow or Prodesse can do to accelerate a slow registrar.
Licensing council response times. Home country nursing councils vary in their response speed. Some councils have known backlogs — build this into your expectations from the start.
Employment history complexity. The more employers you list, the more contacts DataFlow needs to make. A candidate with one employer over five years processes faster than one with four employers over the same period. Agency or locum work is particularly slow to verify because it often involves multiple intermediaries.
Document quality. Blurred scans, inconsistent name spellings between documents, or qualifications listed under a name that differs from your current passport will generate queries that pause the process while DataFlow seeks clarification.
The DataFlow Process, Step by Step
Note: If you are using Prodesse’s DataFlow management service, we handle every step below on your behalf. This guide is for candidates managing the process independently.
- Create your DataFlow account — Go to dataflowgroup.com and create an applicant account. Select the correct destination country and the correct health authority. SCFHS (Saudi Arabia), DHA (Dubai), DOH (Abu Dhabi), QCHP (Qatar), and NHRA (Bahrain) each have their own DataFlow portal and fee structure. Applying under the wrong authority means starting again.
- Complete your application — Enter your personal details, academic history, professional licence information, and employment history exactly as they appear on your documents. Any discrepancy between what you enter and what your institution records show will generate a query.
- Upload your documents — You will need clear, legible scans of your qualification certificate, academic transcripts, professional licence or registration certificate, passport, and employment reference letters. Standard scans are accepted — certified copies are not required for DataFlow submission.
- Pay the fee — DataFlow fees vary by country and by the number of sources being verified. Budget between USD 150 and USD 300. This fee is paid directly to DataFlow and is non-refundable regardless of outcome. Prodesse does not charge recruitment fees to our candidates, but DataFlow fees are payable directly to DataFlow.
- Wait for primary source contact — DataFlow contacts each of your institutions. Log into your DataFlow portal regularly — queries requiring your input appear here and have response deadlines.
- Receive your DataFlow report — Once all sources have responded, DataFlow issues a report with a status for each item: Verified, Unable to Verify, or Discrepancy Found. A fully verified report is what your licensing authority requires to proceed.
What If Something Comes Back Unverified?
Unable to Verify typically means DataFlow could not get a response from the institution — not that the document is fraudulent. Common causes: the institution has closed, changed name, or changed contact details. DataFlow will usually accept supporting documentation — a statutory declaration, a letter from the institution’s successor body, or alternative proof.
Discrepancy Found is more serious. It means DataFlow received a response that does not match what you submitted. If you receive a discrepancy finding, contact Prodesse immediately — do not attempt to address it directly with DataFlow without guidance.
Practical Preparation Checklist
Start DataFlow early. Do not wait until you have a job offer. The process runs in parallel with your application.
- Valid passport — minimum 18 months remaining validity at time of application
- Original qualification certificate and full academic transcripts
- Current professional licence or registration certificate from your home country council
- Employment reference letters from every employer you will list — on letterhead, signed, with dates of employment and job title confirmed
- Contact details for your university’s verification or registrar office
- Contact details for HR at each previous employer
- Consistent name spelling across all documents — matches your passport exactly
